# I compared 6 ways to automatically transcribe Google Meet calls: here's my pick for 2026

Google Meet can transcribe a call on its own, and several note taker apps can too. The differences are who starts the transcript, which languages you get and what happens when someone else hosts.

I compared six ways: Google Meet transcripts, Gemini "Take notes for me", Circleback, [Fireflies.ai](https://fireflies.ai), [Otter.ai](https://otter.ai) and [Fathom](https://www.fathom.ai). I start with Google's built-in options, then cover when an app is worth it.

## How do I automatically transcribe Google Meet calls?

If you host and your Workspace plan includes it, set "Transcribe the meeting" to start automatically from the calendar event. If you want every Meet call captured without starting anything, including meetings you don't host, use a note taker app that joins from your calendar.

## My picks

- **You host and your Workspace plan includes it: Google Meet transcripts.**
- **Every Meet call on autopilot, including meetings you don't host: Circleback.**
- **Languages beyond Google's 8: Circleback.**
- **Written notes in a Google Doc: Gemini "Take notes for me".**
- **A free plan with unlimited recordings and transcriptions: Fathom.**
- **A Chrome extension that records without a bot: Fireflies.ai.**

## Option 1: Google Meet's built-in transcripts

Transcripts work on a computer, laptop or Android device. The feature is on by default for all Workspace editions except Education student licenses. To start transcripts automatically:

1. Open the calendar event for the meeting as the host or a co-host.
2. Open Video call options.
3. Find Meeting records.
4. Turn on "Transcribe the meeting" so it starts automatically.
5. Join the meeting on the web. The transcript won't start until the host or a co-host joins on the web.
6. After the call, find the transcript in the organizer's Drive, in the "Google Meet" folder. It is also attached to the Calendar event.

What you get:

- Spoken words only, in English, French, German, Italian, Japanese, Korean, Portuguese or Spanish.
- The transcript is emailed to the host, co-hosts and whoever started it.
- A separate file each time it starts. You can't pause it.

My take: this is the simplest choice when you host. The limits are the 8 languages and host or co-host control.

## Option 2: Take notes for me

Gemini's "Take notes for me" writes notes in a Google Doc with Summary, Decisions, Next steps and Details sections. It needs an eligible Workspace edition or Google AI plan.

To use it:

1. Check that your Workspace edition or Google AI plan is eligible.
2. Turn on "Take notes for me" from Calendar, the Greenroom or in the call.
3. Pick one of the 8 languages. Notes work in one language at a time.
4. Choose a sharing option: all guests, internal guests, or hosts only.
5. After the meeting, open the Google Doc with the notes.

My take: it fits when you want written notes inside Google, with the same 8 language limit.

## When a note taker app is the better choice

I'd move to an app in four cases.

- **Other languages.** Both Google options cover the same 8 languages. Circleback lists 100+ transcription languages and lets you choose the language of your notes.
- **Every meeting on autopilot.** After you connect a calendar, Circleback's bot joins meetings that have a Google Meet link. You pick Internal meetings, External meetings or both, and can switch joining off for any single upcoming meeting.
- **Meetings you don't host.** Google's automatic start is set by the host or a co-host. Circleback has an optional filter that adds meetings organized by someone else.
- **Routing to other tools.** Circleback automations cover Slack or Linear on Free, CRM on paid plans. Fireflies.ai puts app and CRM integrations on premium tiers, and Fathom lists CRM syncs.

## 1. Circleback

Circleback turns conversations into speaker-labeled transcripts, notes, assigned action items, automations and searchable context. For Meet, it works from your calendar.

**Key features:**

- Calendar auto-join: the bot joins meetings with a Zoom, Google Meet, Microsoft Teams or Webex link, as set in your joining preferences. Workspace admins can enforce them on Business and up.
- Desktop app for macOS and Windows: it records Meet with no bot and no visible participant in the call. It can be your default method. It is a fallback only when joining preferences and Detect meetings are on, the bot's join request is denied and your mic is already active. It then prompts you to record, and starts on its own only if auto-start is on. Auto-start is off by default.
- Audio and video: Circleback saves audio and video recordings. On the desktop app, meeting-window video is saved by default only for recordings started from a detected-meeting notification when Save recordings is on.

**Pros:**

- Auto-join runs from your calendar, so nobody has to start a recording for each Meet call.
- Language coverage goes well beyond Google's 8.
- Free includes unlimited meetings and members, and the desktop app works on every plan.

**Cons:**

- On Free, meetings older than 30 days are locked until you upgrade, and recording media is deleted after 365 days.
- CRM steps need a paid plan. Free automations cover Slack, Linear and Share meeting.
- The desktop app needs macOS 14.2 or later to record.
- Paid plans cost more than Otter Pro.

**Pricing:** Free, Pro at $15 per user per month billed annually or $18 monthly, Business at $25 annual or $29 monthly, Enterprise at $35 annual.

**Best for:** Capturing every Meet call without starting anything, in many languages.

## 2. Fireflies.ai

Fireflies.ai records Google Meet with a bot, and it also offers a Chrome extension that records without the Fireflies bot.

**Key features:**

- A Chrome extension that records without the Fireflies bot.
- A desktop app and mobile apps for Android and iOS.
- English as the primary language, with Spanish, French, Portuguese and Italian, and 100+ more in beta.

**Pros:**

- The extension lets you record without the Fireflies bot in the call.
- Zapier is available from Pro.

**Cons:**

- App and CRM integrations sit on premium tiers.
- Free has limited AI summaries and 400 minutes of storage per team.

**Pricing:** A Free plan and premium tiers, with Zapier starting at Pro.

**Best for:** People who want a Chrome extension that records without a bot.

## 3. Otter.ai

Otter.ai's Basic plan joins Zoom, Microsoft Teams and Google Meet.

**Key features:**

- Basic: 300 monthly transcription minutes and 3 lifetime file imports.
- Pro: 10 monthly imports and Zapier. Business: unlimited imports.
- Transcription in English, Spanish, French, German, Japanese and Chinese.

**Pros:**

- Chinese is covered, and Google's 8 languages don't include it.
- Otter Pro costs less than Circleback's paid plans.

**Cons:**

- Basic is capped at 300 monthly transcription minutes and 3 lifetime file imports.
- It covers 6 languages, fewer than Circleback's 100+.

**Pricing:** Basic, Pro and Business plans, with Basic at 300 monthly transcription minutes.

**Best for:** A Basic plan that joins Google Meet.

## 4. Fathom

Fathom captures meetings on Zoom, Google Meet, Microsoft Teams and Slack Huddles, not phone calls.

**Key features:**

- A choice of bot-free and bot capture types. Bot-free is a beta feature for Mac.
- Free includes unlimited recordings and transcriptions.
- Integrations include Claude and ChatGPT, Zapier, Make, and a Public API and MCP.
- CRM syncs, with field sync from Business.
- Fathom transcribes and summarizes meetings natively in seven languages: English, Spanish, Dutch, French, Italian, German, and Portuguese (Premium and Team plans).

**Pros:**

- Recordings and call storage are unlimited on all five plans.

**Cons:**

- It doesn't capture phone calls.
- Bot-free capture is a beta feature for Mac.
- Native transcription covers seven languages.

**Pricing:** Free includes unlimited recordings and transcriptions, and CRM field sync starts at Business.

**Best for:** A free plan with unlimited recordings and transcriptions.

## How the six compare

| Option | Languages | Plan or price |
| --- | --- | --- |
| Google Meet transcripts | 8 languages | All Workspace editions except Education students |
| Gemini "Take notes for me" | 8, one at a time | Eligible Workspace or Google AI plan |
| Circleback | 100+ languages | Free, Pro $15 annual |
| Fireflies.ai | English plus four, 100+ beta | Free and premium tiers |
| Otter.ai | 6 languages | Basic: 300 monthly minutes |
| Fathom | 7 (Premium and Team plans) | Free: unlimited recordings |

## How to choose

- If you host and your Workspace plan includes it, I'd start with Google's transcripts.
- If you want other languages or never want to press record, I'd pick Circleback.
- If you want unlimited recordings and transcriptions on a free plan, I'd pick Fathom.
- If you prefer a browser extension with no bot, I'd look at Fireflies.ai.
- If 300 monthly minutes covers you, Otter.ai Basic joins Google Meet.
