How to send meeting action items to Asana automatically (2026): 8 ways compared

Eight ways to get AI meeting action items into Asana: Fireflies, Fathom, tl;dv, Otter.ai, Read AI, Circleback, Avoma and Zapier, with steps and plan needs.

Most AI notetakers list action items. Fewer put them in Asana without someone copying them over. I compared the routes on how tasks get created, who they are assigned to and which plan you need, going by each vendor's own pages.

Which AI tools automatically create tasks in Asana after meetings?

Fireflies, Fathom, tl;dv and Otter.ai each have a native Asana integration that creates tasks after meetings, though Otter's native integration is exclusive to Enterprise customers. Read AI's integration is manual by design: you push chosen action items from the meeting report. Any notetaker with a Zapier or Make connection can do the same through a zap, as Avoma does. Circleback has no built-in Asana automation step. Its automatic route is the Zapier step, and the Asana connector in Ask Circleback creates and updates tasks when you ask.

Picks by need:

  • Automatic tasks with owners assigned by email: Fireflies.
  • Your own action items, on a free or paid plan: Fathom.
  • Choosing which items to send: Read AI.
  • Creating and updating tasks by asking: Circleback's Asana connector.
  • A notetaker with no native Asana integration: a zap, as with Avoma.

Option 1: a notetaker with a built-in Asana integration

Fireflies.ai

Fireflies' Asana guide says that after each meeting, Fireflies captures key tasks and adds them directly to your Asana projects.

  1. Add the Asana integration in Fireflies and select your Workspace, Project and Section. The Asana project has to exist already, because Fireflies can't create it.
  2. Turn on the settings that create tasks from action items identified during meetings and assign them to Asana project members based on the task owner's email.
  3. Let it run. By default Fireflies creates tasks in Asana for every meeting. Integration Rules, which filter which meetings create tasks, are available on Business or higher plans.

Fathom

  1. Open Settings, scroll to Integrations, click Task Manager, then select Connect.
  2. Pick the project that receives tasks, the sync frequency, and whether sync runs automatically or manually.

Fathom's help article says the integration is available to all users on free and paid plans. Tasks sync only to your own Asana account, and you are always the assignee. Only calls where you are the recording owner sync, and only the action items assigned to you.

tl;dv

tl;dv's integrations page says it syncs AI-generated summaries and creates Asana tasks directly from Google Meet, Zoom or Teams calls. Its help center has no Asana article, so there are no vendor setup steps to follow.

Otter.ai

Otter's Asana page says that after each meeting Otter pushes action items into Asana tasks. The native integration is exclusive to Enterprise customers, and their project destination is configured by Otter's solutions team. The Zapier integration is on Pro, Business and Enterprise.

Read AI

Read AI's Asana page says you push action items from a meeting report into Asana with one click. You choose which items to send and set the assignee, due date and project, and each task links back to the report. The integration is manual by design, with no automatic sync.

Option 2: Circleback with Zapier or the Asana connector

Circleback produces assigned action items for each meeting. It has no built-in Asana automation step, so two routes reach Asana: the Zapier step in an automation, and the Asana connector in Ask Circleback.

Route A: the Zapier step (automatic)

  1. In Circleback, open Automations and select New automation.
  2. Add conditions if only some meetings should send tasks: tags, meeting title, participants, invitee emails, invitee email domains or number of invitees. With no conditions, the automation runs after every meeting.
  3. Add the Zapier step, then select Save.
  4. In Zapier, build a Zap that starts from Circleback and ends with Asana's Create Task action. Workspace and Task Name are required. Task Description, Assignee, Followers, Tags and custom fields are optional.

The step sends Zapier one event per meeting with the outcomes you choose, including the action items as a list, so unlike Circleback's Linear and monday.com steps, it does not create one item per action item on its own.

Route B: the Asana connector (on request)

  1. Open Ask Circleback and connect Asana from its connectors. Asana signs you in with OAuth.
  2. Ask for what you need, such as creating tasks from a meeting's action items, then ask for follow-ups: update tasks, add comments, create a project or post a project status update.

The connector does not edit existing projects or delete tasks.

Cons: The Zapier step is not on every plan (see Circleback pricing). The connector acts only when you ask, so it does not create tasks on its own after a meeting.

Option 3: any notetaker through Zapier or Make

If your notetaker has no native Asana integration, or Fathom's your-items-only limit gets in the way, Zapier or Make can fill the gap. These steps use Zapier's Asana actions.

  1. Pick the notetaker's trigger. Fathom's Zapier app has a New Action Item trigger, which fits Zapier's sample zap "Create tasks in Asana for every new action item in Fathom". Otter's Zapier trigger is New Recording, which runs once per recording.
  2. Add Asana's Create Task action, with the same fields as in Route A.
  3. Map the action item text to the task name, and the owner to the assignee when the trigger provides one.
  4. To change tasks after a later meeting, add Asana's Update Task action, which updates an existing task's assignment, dates, followers, tags and custom fields.
  5. Turn the Zap on.

Plan needs sit on the notetaker side. Fathom includes Zapier and Make on Team, Business and Enterprise and lists limited use on Free and Premium. tl;dv's free plan includes 20 integration credits for its Zapier integration.

Avoma

Avoma's integrations page lists no native Asana integration. Its Zapier help article says the New Conversation trigger sends an action_items list, and shows Looping by Zapier creating one task per action item. Zapier needs an Avoma paid plan.

Asana routes side by side

Way Creates tasks automatically One task per action item Assignee and due date Plan needed
Fireflies native Yes, every meeting by default Yes, by setting Owner's email assigns Pro or higher
Fathom native Yes, or manual sync Your items only Always you Free and paid
tl;dv native Yes, per integrations page Not stated Not stated Not stated
Otter.ai native Yes, after each meeting Not stated Assignee set in the Zapier route Native: Enterprise only. Zapier: Pro, Business, Enterprise
Read AI native No, you push items from the report Yes, you pick each item Set assignee and due date when sending Not stated
Circleback Zapier step: yes. Connector: on request Connector: you ask. Zapier step: one event per meeting with all action items Zap's Assignee field Zapier step not on every plan
Avoma through Zapier Yes, a zap per conversation Yes, with Looping by Zapier Mapped in the zap Avoma paid plan plus Zapier
Zapier or Make zap Yes Depends on trigger Assignee field Zapier plus notetaker plan

How to choose between the routes

  • For tasks on every meeting with the right owner, I'd use Fireflies, if your Asana projects already exist and your plan includes the integration.
  • If only your own action items need to reach Asana, Fathom's free integration is enough.
  • To pick which items go to Asana, I'd use Read AI and push them yourself.
  • If you already use Circleback, use its Asana connector to create and update tasks by asking, and add the Zapier step when something has to run after every meeting.
  • If your notetaker has no native Asana integration, build a zap with a trigger that fires per action item, as with Avoma.
  • If tl;dv is your notetaker, confirm setup, assignee and plan with tl;dv first.

FAQ

Which AI tools automatically create tasks in Asana after meetings?

Fireflies, Fathom, tl;dv and Otter.ai (Enterprise only for its native integration) create Asana tasks natively. Read AI pushes the items you choose and is manual by design. Circleback does it through its Zapier step, and Avoma or any other notetaker through a Zapier or Make zap.

Can Circleback create Asana tasks automatically?

Yes, through the Zapier step, which sends meeting outcomes to Zapier after every meeting that matches the automation's conditions. The step is not on every plan, and Circleback has no built-in Asana automation step. Its Asana connector creates tasks on request instead.

Can an AI notetaker assign Asana tasks to the right person?

In some cases. Fireflies assigns tasks based on the task owner's email when that setting is on, and Fathom assigns every task to you. Read AI lets you set the assignee when you push an item. A zap can fill Asana's optional Assignee field from the notetaker's data.

Can AI update existing Asana tasks after a meeting?

Yes, on request or through a zap. Ask Circleback's Asana connector can update tasks, add comments and post project status updates. A zap can use Asana's Update Task action. The native Fireflies and Fathom integrations only create tasks.

Can Fathom send everyone's action items to Asana?

Not natively. Fathom's native integration syncs only the action items assigned to you, from calls you recorded, to your own Asana account. Its help article names Zapier as the best workaround.
